Setting up VOIQ VoiceBots in HubSpot Workflows
-Lead Conversations-

What can a VoiceBot do for you?

VOIQ VoiceBots fully automates your sales and marketing call tasks by having conversations with your leads and customers. They can call your leads/customers to remind them about an upcoming meeting/event/payment, schedule meetings, engage prospects who've recently downloaded marketing content, qualify leads, and so on. 

Let's set up your first VoiceBot in a workflow: to trigger a VoiceBot RSVP call after a lead opens an event reminder email

For this example we'll set up two workflows. The first one will send the email that we are tracking, and the second will trigger a VoiceBot call after the lead opens the email.  
Beforehand you need to create the email you are going to track and make sure you save it for automation, so that you can use it in Workflows. Click here to learn how to create an email to use in HubSpot Workflows

Workflow 1: Sends Email

1. Create new workflow 

  • In your HubSpot Marketing account, navigate to Automation > Workflows.

  • In the workflows dashboard, click Create workflow in the upper right.

2.  Name and select your workflow type: VoiceBot Event RSVP

On this screen, enter a name for your workflow at the top and select a workflow type. Since this example workflow will be based on sending an email to a contact, we'll select Start from scratch

3. Set enrollment triggers: Manually

Click Set enrollment triggers, then select Manually to enroll contacts from a specific contact list.

4. Add an action to your workflow: Send email

To add an action, click the + icon, next click on Send Email and select the email you want to send to your contact list. When you're done choosing the email to send, click Done, then Save.

Workflow 2: Triggers VoiceBot Call

1. Create new workflow 

  • In your HubSpot Marketing account, navigate to Automation > Workflows.

  • In the workflows dashboard, click Create workflow in the upper right.

2.  Name and select your workflow type: VoiceBot Event RSVP

On this screen, enter a name for your workflow at the top and select a workflow type. Since this example workflow will be based on a contact opening an email, we'll select Start from scratch

3. Set enrollment triggers: Marketing email activity

Click Set enrollment triggers, then select the type of triggers you'd like to use to enroll contacts. In this example, we want to enroll contacts who opened an email, so we'll select Marketing email activity

Once you select the type of trigger you'd like to use, you'll see options to refine this trigger, such as contact received, opened or clicked a link in an email. In this case, we'll select the email we'd like to use to enroll contacts into this workflow. When you're done refining your trigger, click Done, then Save.

 4. Add an action to your workflow: Pick your VoiceBot

To add an action, click the + iconIn this example, we want the VoiceBot to call a contact after they've filled out a form, so we'll scroll down to Integrations and select the VoiceBot: VOIQ VoiceBot Dialog 

Next, write the main question and the answers whether the contact says YES or NO. You can add contact personalization tokens like contact first name, last name or company name. Add a Voicemail Message and choose the voice you want for the VoiceBot. Then click Save to add the action to your workflow.

5. Test your workflow: VoiceBot calls yourself

Click Test in the top-right corner. Choose a test contact from your database to send through this workflow. Your test contact will receive a call from our VoiceBot with the custom message provided.

6. Activate the two workflows: Send Email & VoiceBot calls

To activate your second workflow, first click Review in the top-right corner. 


You'll see an overview of your workflow settings for your review. Click Edit next to any of these settings to make changes. Once you've reviewed your settings and are ready to begin enrolling contacts, click Turn on. Go back and follow this step to turn on your first Workflow.

You can modify this example workflow and use another VOIQ VoiceBot to suit your needs.
