Setting up VOIQ VoiceBots in HubSpot Workflows
-Call Reminders-

What can a VoiceBot do for you?

VOIQ VoiceBots automate your sales and marketing call tasks by having conversations with your leads/customers. They can call your leads/customers to remind them about an upcoming meeting/event/payment, schedule meetings, engage prospects who've recently downloaded marketing content, qualify leads, and so on. 

Let's set up your first VoiceBot in a workflow: to call and remind a contact about an upcoming demo

1. Create new workflow

  • In your HubSpot account, navigate to Automation > Workflows.

  • In the workflows dashboard, click Create workflow in the upper right-hand corner.

2.  Name and select your workflow type: VoiceBot demo reminder

On this screen, enter a name for your workflow at the top and select a workflow type. Since this example workflow will be based on the last meeting booked by a contact, we'll select Start from scratch

3. Set enrollment triggers: Last meeting booked

Click Set enrollment triggers, then select the type of triggers you'd like to use to enroll contacts. In this example, we want to enroll contacts who booked a sales demo through a meetings link, so we'll select Last meeting booked

Once you select the type of trigger you'd like to use, you'll see options to refine this trigger, such as date fields or a date property like became a marketing qualified lead date. In this case, we'll select is after date and select today's date to segment and enroll contacts into this workflow. When you're done refining your trigger, click Done, then Save.

4. Add an action to your workflow: Select your VoiceBot

To add an action, click the + iconIn this example, we want the VoiceBot to call a contact after booked a sales demo, so we'll scroll down to Integrations and select the VoiceBot: VOIQ VoiceBot Remind

Next, enter in the number of days prior to the sales demo that you’d like the VoiceBot to call your contact (-1 sends the reminder call immediately / 1 sends the reminder call 1 day before / 2 sends the reminder call 2 days before, and so on). Then click Save to add the action to your workflow.

5. Test your workflow: Call yourself

Click Test in the top-right corner. Choose a test contact from your database to send through this workflow. Your test contact will receive a call from our VoiceBot reminding it of an upcoming demo.

6. Activate workflow: VoiceBot calls your prospects

To activate your workflow, first click Review in the top-right corner. 

You'll see an overview of your workflow settings for your review. Click Edit next to any of these settings to make changes. Once you've reviewed your settings and are ready to begin enrolling contacts, click Activate

And that’s it! Once you set this workflow as live, any contacts enrolled here will be called by Remind.
